Security & PINs
QuickPOS uses a PIN system to identify staff, protect sensitive actions, and automatically restore each cashier's cart when they log in.
PIN is always required
A PIN is mandatory in QuickPOS — the app cannot be used without one. This is not just for security; each staff member's PIN identifies them so their cart is saved against their name and restored when they log back in, even on a different device.
The first time QuickPOS launches, a setup wizard runs automatically to create your admin PIN and add staff members. This takes about a minute and only happens once.
First-run setup
Enter a 4-digit PIN then confirm it. Both entries must match before you can proceed.
Add at least one staff member with a name and 4-digit PIN. Add as many as you need — each person gets their own PIN and their own saved cart.
Your settings are saved and the lock screen appears. Enter a staff PIN to begin.
Staff PINs
Each staff member has their own 4-digit PIN. When they enter it on the lock screen, their name appears in the header so you can always see who is logged in. Every order is recorded against the logged-in staff member.
Any valid staff PIN unlocks the full POS for taking sales, viewing the cart and processing payments. Staff cannot access Settings, Products, Analytics or void/refund orders without the admin PIN.
Cart restore on login
When a staff member logs in, QuickPOS automatically restores any cart they had open when they last locked the screen. This means if a cashier is mid-sale when the auto-lock triggers, they just enter their PIN and the cart comes back exactly as they left it.
It also means that if a till has a hardware failure mid-sale, the cashier can log into any other device on the network, enter their PIN, and their cart is restored instantly — no sale is lost.
Admin PIN
The admin PIN gates sensitive actions. It is prompted automatically when needed — staff do not need to know it unless they have admin responsibilities.
| Action | Requires admin PIN |
|---|---|
| Open Settings | Yes |
| Open Products & Categories | Yes |
| Open Analytics | Yes |
| Apply a discount to the cart | Yes |
| Void or refund an order | Yes |
| View Order History | No |

Auto-lock
QuickPOS can lock automatically after a period of inactivity. Configure the timeout in Settings → General → Auto-lock. Options are Never, 5, 10, 30 minutes or 1 hour. The timer resets on any interaction. When it triggers, the lock screen appears and a staff PIN is required to continue — and the cart is restored automatically.
Manual lock
To lock the screen immediately, open the ≡ burger menu and tap Lock Screen. Useful at the end of a shift or when leaving the till unattended briefly.
Managing PINs
Add, edit or remove staff members and change the admin PIN at any time in Settings → Staff. Changes take effect immediately.
